Automate workflows with rules

⏱ 7 min👤 Team membersPro plan and above

Rules move, assign and update cards automatically, so your board stays current without manual work.

How a rule works

Every rule has three parts. A trigger starts it, optional conditions filter it, and one or more actions do the work.

⚡WhenCard moved to In progress
🔎IfPriority is High
🎯ThenAssign to team lead and notify Slack

Watch the rule run: the card enters In progress, the rule fires ⚡, assigns Alex and posts to Slack.

When a card moves to Done, then mark all its checklist items complete and archive it after 7 days.

Most popular Keeps the board clean with zero effort.

When a due date is 1 day away, if the card is not in Done, then notify the assignee by email.

When a card is created with the label bug, then send a webhook to your issue tracker.

Create a rule

  1. Open a board and click Automation › + New rule.
  2. Under When, select a trigger.
  3. Optional: under If, click Add condition.
  4. Under Then, click Add action and configure it.
  5. Click Save and turn on.The rule appears in the list with the status On. Cards changed by it show ⚡.
Avoid loops: don't create two rules that move cards between the same columns. FlowDesk stops a rule after 50 runs per minute.
